A Practical AI Adoption Checklist for Small Businesses

Most small businesses do not have an AI problem. They have a prioritisation problem that AI has made more visible. New tools arrive faster than anyone can reasonably evaluate them, and the pressure to "do something with AI" often leads to adoption for its own sake rather than adoption that solves a real bottleneck.

Before adding another tool, it is worth working through a short, honest checklist.

1. What is the repetitive task actually costing you?

Not in the abstract — in hours per week, and in what those hours are currently preventing you from doing. A task that costs two hours a week and causes no real bottleneck is a poor first candidate for automation, even if a tool exists for it.

2. Is the process itself sound?

AI speeds up whatever process you feed it. If the underlying process is unclear or inconsistent, AI will simply produce unclear or inconsistent output faster. Fix the process first; automate second.

3. Who owns the output?

Every AI-assisted workflow needs a human who reviews the result before it reaches a customer. Decide who that is before you adopt the tool, not after something goes out with an error in it.

4. Does it fit your existing tools, or add a new silo?

A tool that requires manually copying data in and out of three other systems rarely earns back the time it claims to save. The best first AI adoptions usually slot into a workflow you already run, rather than becoming a new one to maintain.

5. How will you know if it worked?

Set one measurable outcome before you start — hours saved, response time reduced, output volume increased — and check it again after a defined period. Without this, "we use AI now" becomes the goal instead of the actual business result.

None of this is about being cautious for its own sake. It is about making sure the tools you adopt earn their place, rather than adding another subscription and another tab to check.
